We value your privacy. Below you will find how we handle your personal data. The privacy statement will sometimes be changed due to, for example, legislative changes. It is therefore advisable to consult this statement periodically.
Cookies
If you visit our website, we will place a cookie after your consent. We use technical cookies to keep track of which pages are visited and to make the website better. We do this with Matomo. You can read more information about this under the heading analytics.
Purpose of collecting data
Personal data is collected by WeCity for a number of purposes. These are explained below.
1. Sending newsletters
WeCity sends newsletters via email. These newsletters are commercial on the one hand and aimed at knowledge sharing on the other. Your first and last name, organization and e-mail address are collected via the appropriate form on the WeCity website or via the settings in the WeCity portal. In addition, you may be asked verbally or textually to register.
2. Contact
Your data will be collected if you contact WeCity via forms on the website. However, these forms only ask for the necessary information to be able to offer a proposal or a service, such as your name, telephone number, company name and e-mail address.
3. Analytics
The WeCity website collects your data to improve the website. This is done with Matomo, a software program. Matomo runs entirely on our server and does not share any data with others. The data we collect is anonymous and therefore not linked to your personal data. Think of information such as the duration of your website visit or the pages you visit a lot. All data will only be processed with your explicit permission for the execution of agreements, or because processing is necessary to send you requested information.
Receivers
The data that WeCity receives and processes is managed by:
1. HubSpot
Newsletters and documents (such as white papers) are sent using HubSpot, a CRM-solution. The moment you sign up for the newsletter or request a document, your email address and name are automatically saved in the appropriate list within HubSpot.
2. Microsoft 365
WeCity uses Microsoft 365 for its e-mail. If you contact us via the forms or by e-mail, those e-mails will be stored on Microsoft's servers.
3. WeCity website and portal
Different hosting environments are used for the hosting of the WeCity website/portal, the underlying systems (database, servers, software) and the backups. Information that you leave on the WeCity website/portal is stored on these servers.
Retention period
Your data will be kept by WeCity for a longer period of time, but never longer than is necessary for the performance of activities, unless we have to keep your data for longer on the basis of a legal regulation.
1. Sending newsletters
Your email address and name are stored in HubSpot. The storage of your data is for an indefinite period of time. You can unsubscribe whenever you want via the link at the bottom of the newsletters, with the account details in the portal or by sending an email to privacy@wecity.nl.
2. Contact
The moment you contact WeCity via email or a form, the information you send, such as your name, telephone number, company name, and email address, will be stored in HubSpot and on the mail server. These emails are stored for a maximum of two years.
3. Analytics
The data that Matomo collects on the website is anonymous, so it is not linked to your name, company or e-mail address. This data is stored within Matomo for an indefinite period of time.
Security
No physical copies are made of your personal data. Your data is only managed in the aforementioned systems and software. The personal data managed by WeCity or by the aforementioned third parties can only be accessed via the above software and is protected with a password and where possible with two-step verification. With this two-step verification, a code is generated from the software and sent to WeCity. This code must be used during the login process.
In addition, your visit to our website is secured by an SSL certificate. This means that your connection to the WeCity website is private. You can recognize this security by the green lock in front of the url. In addition, WeCity's domain is signed with DNSSEC. This is an extra tool with which the 'signage' of
the website becomes more secure and trusted.
Your rights
1. Right of access
You have the right to request your data that is recorded and stored at WeCity at any time. You can do this by sending an email to WeCity (privacy@wecity.nl). You will then receive an overview of your data.
2. Right to rectification
Is your data incorrect? Or have your details changed? You have the right to have this rectified by WeCity. You can adjust your information about the newsletter via the appropriate url at the bottom of each email.
3. Right to transfer
If you need the data stored at WeCity in case you switch to another party or service, you have the right to transfer. In doing so, WeCity must transfer all your data to the other party.
4. Right to erasure
Do you no longer want your data to be stored at WeCity? Then you have the right to have your data deleted.
5. Right to submit a complaint
You have the right to file a complaint with the Dutch Data Protection Authority if you believe that WeCity does not handle your data correctly. This can be done via this link.
6. Right to stop using your data (objection)
Don't you want WeCity to use your data? Then you have the right to cancel the usage of your personal data.
These rights can be exercised via privacy@wecity.nl by sending a copy of ID, in which the passport photo, the numbers at the bottom of the passport, ID proof number and citizen service number have been made illegible. Our aim is to respond within four weeks.
Duties
WeCity processes personal data on the basis of a legitimate interest, namely a commercial interest. This includes offering services or products from WeCity via email. Your data will never be sold to third parties.
The data that are provided are the minimum needed data required for the provision of the services or products. For example, your e-mail address is required to be able to send the newsletter. If this mandatory information is not provided, WeCity will not be able to offer the relevant service.
If it is necessary to share data that you have shared with WeCity with parties other than the parties mentioned above (for example, to offer a service), you will first be asked for permission.
WeCity reserves the right to disclose the information when required by law or when WeCity deems it justified to comply with a legal request/process or to protect WeCity's rights, property, or safety. We always try to respect your right to privacy as much as possible.
